Job Purpose

Providing essential personal contact to donors and qualified prospects by handling customer service issues, facilitating donors’ queries and gift renewals and upgrades and assisting in all retention activities. Project coordination and management of mid–level donor segment. Project leading third-party events.

Duties and Responsibilities

Pro-active retention program:

  • Proactively communicate with regular and Occasional donors within minor and mid-level pools; in a timely and appropriate manner to: thank/welcome them, send them adequate material, issue tax receipts, and systematically encourage increased levels of involvement.
  • Work with the Donor Care team to implement the Relationship cycle for Active Regular Donors (RD), Occasional Donors (OC) and Pre-active Regular Donors.
  • Ensure that each loyalty campaign is recorded in the database.

  • Ensure the recording and tracking of donations directly in the MSF account and specified accounts.
  • Work with the Donor care team to implement the annual strategy. Contribute continuously to the improvement of donor retention interventions and donor cultivation through the proposal of ideas and tests.
  • Oversee the implementation of activities, workflow processes, loyalty cultivation and communications for the mid-level donor pool.

  • Participate and contribute to the analysis and cultivation of mid-level donors. Work with prospect researcher and data analysis in this.
  • Proactively coordinate and manage the retention cycle for mid-level donors and their proactive day to day activities together with the donor care team.
  • Project management of third-party events, developing materials, and then promoting, tracking, and supporting third-party events on various online and offline platforms, but also using a multichannel approach.

Re-active retention program

  • Respond to all incoming enquiries and requests from current and prospective donors, update donors’ profiles and details, cancellations, and requests for any type of information.
  • Record each interaction with donors and update the donor profile accordingly.
  • Ensure that all gifts are acknowledged with appropriate and timely correspondence.
  • Ensure that all mid-level donors’ enquiries and requests are responded to efficiently.

Retention program: Admin and Reporting tasks

  • In coordination with the Database Administrator, Data Analyst, and Digital Fundraising Coordinator, produce accurate reports regarding Occasional Donor donations, third-party events, and mid-level and retention operational reports. Contribute to analysing these reports.
  • Responsible for creating and keeping donor care procedures up to date.

  • Update, as required, MSF SA fundraising files, both paper and electronic. Active participation and contribution to the Fundraising financial Audit process.
  • Export files/data to suppliers or other database systems according to campaigns.
  • Record information about individual donors on the CRM database.
  • Actively participate in the MSF CRM database updating and customization to ensure that the database is answering any retention activities needs, both for short-term and long-term activities.

  • Work with the Donor care team to improve and strategize team KPIs to improve retention and Loyalty programs.
  • Responsible for all merchandise materials, sales and management.
  • Related duties as assigned.

Knowledge & Skills

  • 1-2 years of relevant fundraising and marketing experience.
  • High level of proficiency with Microsoft Office, including Word and Excel, and a working knowledge of search functions for donor research purposes; experience working with donor databases a plus.
  • Excellent organizational skills and ability to prioritize workload in a timely manner to complete assignments when faced with many deadlines and competing requirements.
  • Excellent verbal and written skills.
