Job Purpose
The successful candidate will be responsible for serving visitors and internal clients by greeting, welcoming, and directing them appropriately, notifying staff of visitors’ arrival as well as maintaining records of incoming and outgoing mail that pass-through reception.
The candidate will ensure the allocated administrative functions run smoothly on a day-to-day basis. The candidate will work alongside the other receptionist.

Skills and Experience Required
• Manage client expectations and provide feedback accordingly.
• Establish and maintain relationships with internal stakeholders and support areas.
• Work closely with the Head of Facilities (Pretoria) regarding the general day to day running of the office.
• Inform staff when a client has arrived for a meeting or collecting documentations.
• Accept and direct incoming calls and provide basic information, when needed.
• Confirm meeting room bookings reflect correctly on Booking Panels and Rendevouz.
• Ensure clients are attended to timeously upon arrival in Reception.
Duties and Responsibilities
Administration:
• Attend to staff birthday list.
• Order flowers / gifts, when requested.
• Provide back-up for the receptionist with credit cards (incoming/outgoing).
• Stamp client statements.
• Maintain effective filing and data management system (both paper based and online).
• Provide monthly stats on inhouse meetings and events.
• Perform other clerical receptionist / administrative duties.
• Assist with incoming calls via Sandton switchboard, direct to relevant person.
• Ensure Reception & Client areas are well maintained.
• Ensure Coffee Barrister is present at Coffee Station.
Risk Management:
• Identify all basic risk issues.
• Security awareness.
